This Policy applies to information collected through our website, in connection with recruiting and hiring, and through our ordinary business operations as an engineering and professional services firm. Because Randall Lamb has clients and employees in multiple U.S. states, this Policy is intended to address our practices on a company-wide basis and, where applicable, the requirements of state privacy laws such as the California Consumer Privacy Act (CCPA/CPRA).

2.1 Website Visitors

When you visit our website or interact with us through it, we may collect the following information, depending on how you engage with us:

  • Newsletter sign-up: email address.

We do not knowingly collect Social Security numbers, government identification numbers, financial account information, health information, or other sensitive personal information through our website or general client intake process.

Website inquiries are infrequent — typically only a few per week. Most are from vendors/sales contacts or prospective job candidates; occasional inquiries from prospective clients are routed to the appropriate member of our team for follow-up.

2.2 Job Applicants

When you apply for a position with Randall Lamb, we and our service providers may collect information such as your name, contact information, resume, cover letter, and related application materials.

  • We use LinkedIn for recruiting purposes as needed, which may involve identifying and communicating with prospective candidates through that platform.
  • We use a third-party company to conduct background checks or screening for candidates as part of our hiring process.

Resumes and applications received directly through our website (“cold” submissions not tied to a specific role) are retained on our internal systems only as long as needed and are deleted when no longer applicable. For candidates with whom we have actively communicated as part of a hiring process, retention is managed in coordination with our Human Resources function.

3. Website Tools and Third-Party Vendors

We use a limited number of third-party tools to operate our website and communicate with visitors and subscribers, including:

  • Mailchimp — email newsletter distribution.
  • Our website contact form.
  • CookieBot — cookie consent management.

These providers process information on our behalf solely to help us operate the website and communicate with you, and are not authorized to use your information for their own independent purposes.

4. How We Use Information

We use the information described above to:

  • Respond to inquiries submitted through our website;
  • Send newsletters to subscribers who have signed up to receive them;
  • Evaluate and process job applications and coordinate recruiting and hiring, including background screening;

We do share limited information with third-party service providers described in this Policy (such as our background-check vendor and website/email tools) solely to the extent necessary for them to perform services on our behalf. We may also disclose information where required by law, regulation, or legal process, including as necessary to comply with our obligations as a Department of Defense (DoD) contractor.

Randall Lamb has employees and clients located in California and in several other U.S. states. This Policy is intended to apply to our data practices across all of the jurisdictions in which we operate. Individuals in California and other states with applicable privacy laws may have specific rights described in Section 9 below.

7. Data Retention

Newsletter subscriber email addresses (collected via Mailchimp) are retained until the subscriber unsubscribes or requests deletion.

Contact form submissions are retained in our email inbox/CRM indefinitely unless a deletion request is received or the information is no longer needed for the purpose for which it was collected.

Job application materials submitted directly through our website are retained only as long as needed and deleted when no longer applicable; retention for candidates involved in an active hiring process is coordinated with Human Resources.

8. Data Security

Randall Lamb maintains a secure, cloud-based Microsoft 365 environment across our company-owned laptops, phones, and other devices, with administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, or disclosure.

As a Department of Defense contractor, Randall Lamb is currently self-certified under the Cybersecurity Maturity Model Certification (CMMC) framework and is in the process of pursuing CMMC Level 2 certification, which involves formal audits of our cybersecurity practices. While CMMC is primarily focused on the protection of sensitive unclassified federal information, it reflects the broader security controls and practices we apply across our systems, including those used to store personal information addressed in this Policy.

9. Your Privacy Rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to receive information about how it has been collected, used, and shared. To submit a request, please contact us using the information in Section 11 below.

We will take reasonable steps to verify your identity before responding to a request and will respond within the timeframe required by applicable law. We do not discriminate against individuals for exercising their privacy rights.

10. Children’s Privacy

Our website and services are directed to adults and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
